Safeguarding in practice
The safety and wellbeing of children and young people is our highest priority. Our safeguarding approach goes beyond statements of intent and is reflected in how we recruit, train, brief and manage our team.
All relevant Splaat Photo staff undergo appropriate checks and verification processes, including:

On site, our team works in line with school expectations, including sign-in procedures and a strict no-touch approach during portrait days.
Consent-led photography and video
For the service to operate safely, families register directly with Splaat Photo and confirm their consent choices before access is issued.
As part of that process, parents are asked to confirm that they understand:

that Splaat Photo will photograph and, where relevant, film their child

that facial recognition is used to help allocate content to the correct child’s gallery
-
the privacy information that applies

the terms that relate to access and use
We work with schools to achieve strong registration coverage before content is published. In practice, we aim for registration levels that support pupil privacy and safe delivery, typically around 90% or above before publishing begins. With simple reminders and follow-up, partner schools typically achieve very high registration rates, often 97% to 100%.
If needed, we can provide schools with a list of families we have not yet heard from so staff can follow up appropriately. Where a family remains unresponsive after repeated follow-up, we treat this as no consent for delivery purposes.
We can also help schools identify and filter children on do-not-photograph or no-consent lists from school-use selections, helping maintain confidence in how imagery is shared and used.

Supporting your GDPR responsibilities
Our service is designed to support schools’ GDPR responsibilities, not add to them.
We provide clear processes, supporting documentation, and a Data Protection Impact Assessment (DPIA) on request. Our approach has been shaped with specialist data protection input.
Because content is tagged within our system, it becomes easier to identify relevant material when schools need support with data rights requests such as access or erasure.
We also help reduce the workload around parent communication, consent collection and controlled delivery, giving schools a clearer and more manageable process overall.
Secure access and controlled delivery
Secure gallery access is a core part of the service.
For schools using our year-round secure galleries, parents receive an Access Code once their details have been verified. For one-off event galleries, access is handled separately through an Event Password supplied by the school or organiser.
Access can be amended where needed, and the delivery model is designed to help schools remain confident that content is being shown through the correct route.
Clear communication for families and staff
We support rollout with clear communication for families, helping them understand the service, the consent process and how access works.
Schools also benefit from clear internal guidance, so staff understand how portrait days, event coverage, parent registration and school-use downloads fit together.
This helps create a smoother experience for office teams, safeguarding leads and senior leaders.
